Originally released 2023, Microsoft 365 Backup is now general release. Microsoft 365 Backup is a comprehensive backup and recovery solution designed to protect your critical data stored in OneDrive, SharePoint, and Exchange*. This service ensures that your data is always recoverable, providing peace of mind in the face of potential data loss scenarios like ransomware attacks, accidental deletions, or data corruption.

*Note: As of now, it does not include native backup options for Microsoft Teams. The service primarily covers only OneDrive, SharePoint, and Exchange data. However, you can set retention policies and archive Teams, which helps maintain the retention of Teams data. For comprehensive Teams backup, you might need to look into third-party solutions like Veeam, (which offers backup and restore options for Teams, including Channels, Tabs, Posts, and Files.)

Getting Started

  • PAYGO Ensure you have setup “Pay as you go billing”
  • Access the Admin Center: Log in to your Microsoft 365 admin centre. (Assuming you are a global administrator or SharePoint administrator)
  • Navigate to Backup: Find the backup section (within settings) and follow the prompts to set up your backups.

  • Monitor and Manage: Use the admin centre to monitor backup status and manage recovery points.

Points to Note

  • At time of writing this will cost $0.15 (Per Gb, Per Month) in backup storage.
  • When restoring SharePoint site(s) ensure sites are not locked in a read-only state.
  • Default retention period is 1 year (RPO  = Exchange every 10 mins for 1 Year, SharePoint/OneDrive = every 10 mins for last 14 days then Every week for weeks 2 to 52).
  • Exchange full mailbox or granular item restores are available.

OneDrive GPO (Domain Group Policy)

Problem

The administrative template that you get with Win11 is somewhat out of date, so if you want to manage OneDrive with domain group policy your options are limited, if only there was a newer administrative template!

Well, there is, and it gets updated and sent to you quite regularly. Microsoft just do a good job of hiding it.

Solution OneDrive GPO

Depending on your deployment the files you need can be in different locations, the biggest challenge is finding them. execute the following PowerShell to locate them.

As you can (above) see mine are in my user profile. The folder that they are in will also give you the build number, so you can check occasionally for updates (that will get pulled down when your OneDrive client gets updated).

Go to that directory and you will find the ADMX and ADML files.

Note: For anyone who is not English speaking, there may be a different ADML file in the locale folders you can see above.

Copy the OneDrive.admx file into your PolicyDefinitions folder (if unsure of the path, see below. obviously substitute your own domain name and here I’m on a domain controller so the SYSVOL volume on my local drive).

Now change to the INPUT LOCALE folder (in my case en-US) and copy the OneDrive.adml file into that folder.

Then when you are in the Group Policy Management Editor you will see the updated OneDrive options.

You can enable Ransomware protection to files and folders within Windows 11, (this assumes you have access to OneDrive).

Locate and Enable Ransomware Protection

Windows Button > Settings.

Search for “Windows Security”.

Virus & Threat Protection (If yours is not selectable see the video (above).

Locate Ransomware Protection.

Switch to ‘On‘.

Yes.

To se the folders currently being protected select ‘Protected Folders‘.

Here you can add any folders to the default ones.

It offers a big free storage space of 5GB which can attract more users. If they fill the space and enjoy the features, they are more likely to purchase a paid plan. Another important pro you should know is that this service has an AI which can save your videos and pics in the files according to importance. The automatic syncing options is another pro. Their file management and syncing service are extending even more.

Cons

The level of security is one of the most important things you need to consider before you decide to purchase a cloud storage service. One Drive has a good security because of Sookasa, an all-in-one security tool. Unfortunately, like any other security tool, Sookasa doesn’t always do its job at keeping the data secure.

However, there are also some cons when it comes to their features. OneDrive could add a few more features considering the fact that the company wants to make this an all-in-one cloud storage service. Also, some of the features might not work as well as on other cloud services.

Another con of this service is the fact that it doesn’t offer a lot of options for business owners. Most services have at least 2 options for businesses. However, Microsoft OneDrive is a better option for personal use. If you want a cloud service for business, you should check out another service like Dropbox or MEGA cloud.
